About the Role

The Office Manager is responsible for overseeing administrative tasks and ensuring the smooth operation of the school's front office. They serve as a vital link between parents, teachers, and the school administration, helping create an organized and efficient environment to support the school's daily operations. This role requires strong organizational skills, communication abilities, and a welcoming demeanor to provide students, parents, and staff with a warm and welcoming atmosphere.

Key responsibilities may include, but are not limited to:

Daily Operations

  • Oversee the school’s main office duties including but not limited to welcoming visitors, assisting with the daily attendance process, managing incoming calls, accepting deliveries, etc.)

  • Maintain and update student data and information in our Student Information Systems

  • Support School Leaders with student reporting, supply orders, report card distribution, or paperwork

Recruitment, Enrollment, and Records Maintenance

  • Assist with student recruitment, enrollment, and registration process for new families

  • Support the collection and maintenance of student, personnel, and school information (receiving forms and paperwork, tracking missing forms, managing databases, updating contact information, keeping records, etc.)

Systems Execution

  • Maintain office equipment and furnishings

  • Help execute school-wide daily systems (executing student attendance, tracking the student discipline system, etc.)

  • Maintain accurate student data and information in compliance with federal, state, and school expectations

  • Support with logistics of report cards/progress reports/transcripts

Student Safety

  • Serve as the eyes and ears at the front of the building to ensure student safety at all times

  • Execute dismissal procedures with strict fidelity for student safety, for example, reviewing authorization to pick up before releasing students

Events and Activities Support

  • Support grade-level and school-wide activities, including field lessons, as needed

  • Support execution of staff events and preparing materials for staff workshops/trainings when appropriate

  • Help execute logistics and preparations for school events and activities as needed (making photocopies, setting up for special events, making phone calls to confirm attendance, etc.)

Qualifications

  • Bachelor's degree in Business Administration, Education, or related field preferred.

  • Fluently speaks, reads, and writes in English. Bilingual is a plus.

  • Flexibility, initiative, and personal responsibility to work in a fast-paced startup environment

  • Proven experience in office management or administrative roles, preferably in an educational setting.

  • Strong organizational skills with the ability to prioritize tasks and multitask effectively.

  • Excellent communication and interpersonal skills, with a customer service-oriented approach.

  • Ability to work independently with minimal supervision and collaborate within a team environment.

  • Willingness to adapt to changing priorities and take on new challenges.

  • Develops and maintains positive relationships with students, colleagues, parents, and other members of the Invictus Nashville community.

  • Ability to cultivate collaboration and teamwork amongst diverse groups.

This position may require up to 15% of travel.

Compensation

Invictus Nashville offers full-time employees competitive salaries and benefits options. As indicated below, individuals hired in this role have the following salary range associated with their experience: $50,000 -$55,000
